ClinicCo runs 14 dental clinics across the Midwest. Their front desks were spending 60% of their day on scheduling calls โ most of which happened during clinical hours when staff couldn't pick up.
The challenge
Patients gave up trying to book between calls and switched to competitors. After-hours phone tag was burning leads. Front desks needed automation that didn't feel like talking to a robot.
What we built
We built a multilingual (English + Spanish) booking assistant integrated with their practice management system. PHI is redacted before any LLM call. The bot handles booking, rescheduling, and reminders โ clinical questions go straight to staff.
The outcome
ClinicCo books 3,200 appointments / month through the assistant. 41% happen outside business hours. Booking conversion is up 38%, reminder no-shows down 28%.
